Job Summary




  • As a Receptionist, you will be responsible for greeting visitors, managing phone calls, scheduling appointments, and handling basic administrative tasks to ensure a smooth and welcoming office environment.



Key Responsibilities




  • Utilize various channels such as job boards, social media, networking, and employee referrals to attract talent.

  • Screen calls and take messages.

  • Organize files for billing, customer and client records, etc.

  • Inform employees of visitors before allowing them access to the office.

  • Direct visitors to the correct office.

  • Respond to all customer inquiries in a polite and timely manner.

  • Effectively answer and direct phone calls to the correct department.

  • Welcome and greet visitors in a warm and friendly manner, and answer any questions visitors have.

  • Ensure the reception area and all common areas are clean and tidy at all times.

  • Keep detailed and accurate records of visitors and of calls received.

  • Receive deliveries; sort and distribute incoming mail.

  • Maintain the general office filing system.

  • Perform other administrative duties as required to support the mission and function of the company.

  • Other duties assigned from time to time.



Qualifications




  • Bachelor's Degree in Business Administration, or any related field.

  • Must have at least a year experience as a Receptionist.

  • Ability to take initiative and work with little or no supervision

  • Excellent communication and interpersonal skills.

  • Must be detail-oriented.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is an added advantage.

  • Ability to work in a fast-paced, deadline-driven environment.
