Job Summary
- The Tender Specialist is responsible for managing the end-to-end tendering process, ensuring compliance with all procurement and supply chain standards.
- The role involves bid preparation, evaluation, and submission while integrating procurement, supply chain management, and clearing and forwarding expertise to meet organizational goals.
Key Responsibilities
Tender Management:
- Source, analyze, and monitor tenders and their requirements and scope.
- Prepare, compile, and submit competitive bids within deadlines.
- Liaise with internal departments (operations, finance, legal) to gather required information.
- Develop and maintain a database of templates, pricing structures, and past tenders for efficient bid preparation.
- Evaluate tender documents to understand project requirements and deadlines.
- Coordinate with internal teams to gather necessary information for tender submissions.
- Prepare and compile comprehensive tender responses that align with client needs.
- Collaborate with subject matter experts to ensure the accuracy and completeness of proposals.
- Conduct market research to stay updated on industry trends and competitor activities.
- Develop and maintain relationships with key stakeholders involved in the tendering process.
- Review and negotiate contract terms and conditions.
- Monitor and manage multiple tender submissions simultaneously.
Procurement Responsibilities:
- Source and evaluate suppliers to ensure quality, cost-efficiency, and compliance.
- Negotiate contracts and agreements with vendors and service providers.
- Maintain an updated supplier database, ensuring continuous performance evaluation.
- Prepare purchase orders and ensure timely delivery of goods and services.
Supply Chain Management:
- Optimize inventory levels to balance operational needs and cost management.
- Coordinate with logistics teams to streamline the movement of goods and materials.
- Develop and implement supply chain strategies aligned with company goals.
- Ensure compliance with all statutory and regulatory requirements related to supply chain activities.
Clearing and Forwarding:
- Oversee the clearing process for imported goods, ensuring compliance with customs regulations.
- Coordinate with freight forwarders, shipping agents, and customs authorities for smooth transactions.
- Manage documentation for import/export activities, including bills of lading, customs declarations, and clearance permits.
- Address any delays or issues in the clearing and forwarding process promptly.
Reporting and Compliance:
- Prepare periodic reports for management review.
- Ensure adherence to organizational policies and government regulations in all processes.
- Maintain accurate records of tenders, procurement, and supply chain activities.
- Maintain accurate tender documentation, including plans, reports, and change requests.
- Conduct post-tender evaluations to capture lessons learned and identify areas for improvement.
Qualifications
- Education: Bachelor’s Degree in Business Administration, Supply Chain Management, Procurement, or a related field. A Master’s Degree is an Advantage.
- Experience: Minimum of 5-7 years of experience in Tender Preparation, Procurement, and Supply Chain Management with a proven track record of winning tenders (Public & Private). Experience in Bids and Tender in Oil & Gas, Renewable Energy, and Smart Metering is preferred.
