Job Description
Provide critical backend supports to MD by performing a variety of administrative tasks to aid managerial responsibilities without worrying about some minor administrative tasks.
- Be the next go person after the MD in all matters related to the MD
- Attend meetings and keep minutes.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc)
- Make travel arrangements for executives officers partners and visitors as required
- Handle confidential documents ensuring they remain secure by maintaining files for them.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Conduct research and prepare presentations or reports as assigned
- Prepare and disseminate correspondence, memos and forms
- File and update visitors record, contact information of employees, customers, suppliers and external partners
- Support and facilitate the completion of regular reports
- Develop and maintain a filing system In hard and soft copies
- Check frequently the levels of office supplies and place appropriate order.
- Make travel arrangements
- Document petty expenses and requisition report at regular intervals
- Oversee the performance of other clerical and administrative staff
- Any other duties as assigned
Qualification & Experiences
- Must be agile and hard working, able to work with minimum supervision
- HND / BSc in Social sciences or Arts
- 4 years work experience
- Evidence of completion / exemption from NYSC
- Proven working experience as an executive assistant/administrative position in a fast pace work environment is an added advantage.
- Excellent MS Office knowledge and English proficiency
- Outstanding organizational and time management skills
- Acquaintance with office management systems and procedures
- Excellent verbal and written communications skills
- Exercise Discretion and confidentiality
- Familiar with office organization and optimization techniques
- High degree of multi-tasking and time management capability
- Integrity and professionalism
- Familiarity with basic research methods and reporting techniques
- Must be Social Media Savvy.
- Must be resident in Lagos
