About the job




  • The Executive Assistant will provide high-level administrative support to the Life Sciences Director, including scheduling, project management, and communication coordination. Be a highly organized, proactive, and professional individual who can handle sensitive information and navigate a complex business environment.

  • The Executive Assistant will ensure the smooth functioning of the Office of the Life Sciences Director and act as a liaison between the Life Sciences Director and other internal leaders, teams or external stakeholders.



Responsibilities




  • Effective prioritization and tracking of key projects and initiatives, ensuring alignment with the company’s strategic direction.

  • High-level support to the Life Sciences Director, managing schedules, priorities, and confidential matters.

  • Lead assigned projects, ensuring they are delivered on time, within scope, and in alignment with business goals.

  • A positive work culture (especially within the Office of the Life Sciences Director) through support of employee engagement initiatives and effective communications.

  • Comprehensive and proactive administrative support to Life Sciences Director, including calendar management, meeting coordination, and travel arrangements.

  • Serve as point of contact for Life Sciences Director, managing communication and responding to inquiries on his behalf.

  • Adequate preparation and organization of documents for meetings, presentations, and reports, ensuring accuracy and timeliness.

  • Draft, review, and proofread emails, memos, and other written communications as needed.

  • Research on specific topics as needed and compile data for reports or presentations.

  • Effective handling of special projects and other tasks as assigned by Life Sciences Director.



Qualifications




  • Minimum of a Second Class Upper (2:1) or Upper Credit in Business Administration, Life Sciences, Public Health, or a related field.

  • At least 3 years of experience in an executive assistant or administrative support role, preferably in a healthcare, life sciences, or technical environment.

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to handle multiple tasks and prioritize effectively.

  • High level of professionalism and discretion.
