Job Description
Responsibilities
Administrative Support:
- Manage the Executive Director’s (ED’s) calendar, schedule, and appointments.
- Organize meetings, prepare agendas, and take minutes.
- Handle correspondence (emails, memos, letters) on behalf of the ED.
- Maintain filing systems and confidential records.
Communication & Liaison:
- Serve as the first point of contact between the ED and internal/external stakeholders.
- Draft and proofread reports, presentations, and official communications.
- Relay information from the ED to staff, departments, and external partners.
Project & Task Coordination:
- Track progress of projects assigned by the ED.
- Follow up with staff/department heads on pending tasks and deadlines.
- Prepare periodic reports for the ED’s review.
Meeting & Event Coordination:
- Arrange logistics for internal/external meetings, workshops, and official events.
- Ensure proper documentation and distribution of meeting outcomes.
Confidentiality & Professionalism:
- Handle sensitive information with discretion.
- Uphold a high level of professionalism in representing the ED’s office.
Strategic Support:
- Conduct background research to support decision-making.
- Summarize key documents and proposals for the ED.
- Anticipate the ED’s needs and provide proactive support.
Qualifications
- Interested candidates should possess an HND, Bachelor's, or Master's Degree.
