Job Description
Job Purpose
- The Grounds and Maintenance Officer is responsible for ensuring the cleanliness, safety, and functionality all of the company’s outdoor and structural facilities.
- The role involves maintaining grounds, conducting minor repairs, monitoring generators and fuel, checking electrical appliances such as air conditioning systems, supporting gate and parking operations, and assisting with events.
- The officer ensures that the environment is well-maintained, safe, and presents a positive impression to staff, guests, and customers.
Key Responsibilities
Grounds and Outdoor Cleaning:
- Empty and clean outdoor trash bins while ensuring waste segregation.
- Remove debris from outdoor drains to prevent blockages and flooding.
- Ensure outdoor areas (signage, lamps, fixtures) are cleaned and maintained regularly.
Property Maintenance and Repairs:
- Conduct daily checks on lighting, plumbing, gates, fences, and electrical appliances (e.g., fans, air conditioners, refrigerators, water dispensers).
- Carry out minor repairs such as replacing bulbs, tightening screws, and patching small defects.
- Record maintenance activities in the logbook and escalate major issues (e.g., leaks, electrical faults, AC malfunctions, structural damage).
- Perform weekly inspections and basic servicing of equipment, tools, and drainage systems.
- Monitor air conditioning systems for performance issues, unusual noises, leaks, or temperature irregularities and report promptly.
Generator Monitoring and Fuel Management:
- Inspect generator diesel levels daily and ensure a minimum of 100 liters is available at all times.
- Record fuel levels and generator condition in the logbook.
- Conduct test runs and basic servicing checks weekly.
- Report abnormalities (leaks, unusual noises, low fuel) immediately.
Electrical Appliances & AC System Support:
- Carry out routine checks on electrical appliances including air conditioners, water dispensers, refrigerators, fans, and lighting systems.
- Clean AC filters regularly and ensure timely servicing by specialists when required.
- Detect and report faults (e.g., overheating, wiring issues, reduced cooling efficiency).
- Switch off electrical appliances not in use to save energy and prevent hazards.
Gate and Parking Operations:
- Monitor vehicle movements and guide visitors to designated parking areas when required.
- Ensure driveways and access points remain clear at all times.
- Support security personnel with vehicle management when required.
Event and Special Duty Support:
- Assist in setting up outdoor spaces for events, including tents, chairs, and decorations.
- Clear and restore areas after events.
- Provide logistical support to staff and guests during special functions.
Safety and Hygiene Compliance:
- Consistently wear Personal Protective Equipment (PPE).
- Identify and report hazards immediately (e.g., oil spills, broken fences, loose wires, faulty AC units).
- Use safety signage when cleaning or working in risky areas.
- Ensure safe storage of tools, fuel, and chemicals after use.
Waste Management:
- Empty bins before overflow and replace liners promptly.
- Dispose of waste properly at designated points.
- Separate recyclable and non-recyclable waste.
Reporting and Documentation:
- Maintain accurate daily records of inspections, repairs, and generator fuel levels.
- Provide reports on hazards, faults, and recurring issues for long-term solutions.
- Track stock levels of consumables, fuel, and maintenance supplies.
Key Performance Indicators (KPIs)
- Cleanliness and orderliness of grounds and outdoor spaces.
- Timely response to maintenance and repair requests.
- Compliance with generator fuel minimum threshold.
- Effective monitoring of air conditioning and electrical appliances.
- Accurate and up-to-date record-keeping in logbooks.
- Adherence to safety and hygiene protocols.
- Positive feedback from staff, guests, and management.
Qualifications, Skills, and Experience
Education & Experience:
- Minimum of OND.
- At least 2 – 3 years of experience in groundskeeping, maintenance, or facility support roles.
- Vocational training in facility maintenance, electrical, plumbing, or related field (mandatory).
- Experience in basic electrical systems and air conditioning maintenance is an added advantage.
Skills & Competencies:
- Basic knowledge of electrical, plumbing, air conditioning, and general repairs.
- Ability to operate and maintain tools, equipment, and generators.
- Good physical fitness and ability to perform manual tasks.
- Strong attention to detail and organizational skills.
- Basic record-keeping and reporting ability.
- Good communication skills and courteous in dealing with staff and visitors.
