Job Summary




  • The Administrative Officer will provide day-to-day operational and administrative support to ensure smooth workflow across teams (Design, Social Media, Client Service, and Management).

  • The role requires strong organizational skills, excellent communication, attention to detail, and the ability to work efficiently in a fast-paced remote digital agency.



Responsibilities




  • Manage agency calendars, team schedules, newsletters, web artuclesand internal reminders for deadlines, client deliverables, and meetings.

  • Organize and document files, briefs, reports, and client records using cloud tools (Google Drive, etc.).

  • Monitor project workflows and ensure tasks are completed on time by following up with team members.

  • Prepare weekly and monthly reports for management (task tracker, productivity, project status).

  • Schedule and coordinate virtual meetings, presentations, and brainstorming sessions.

  • Take minutes during internal/client meetings and share action points with responsible team members.

  • Maintain communication flow between departments (Social Media, Graphics, etc).

  • Assist with onboarding new clients and staff (welcome kits, NDA, contracts, onboarding forms, folder setup).

  • Respond to basic client inquiries and escalate requests to relevant team members.

  • Ensure client deliverables, revisions, and approvals are tracked and well documented.

  • Track client subscriptions to notify them before expiration.



Requirements




  • Bachelor’s degree or relevant experience in Administration, Business, or related fields.

  • 3+ years’ experience in administrative or operations roles (preferably in a tech or digital agency).

  • Strong written and verbal communication skills.

  • Proficient in digital productivity tools (Google Workspace, Notion, Trello/Asana, Slack).

  • Excellent multitasking, documentation, organization, and follow-up skills.

  • Ability to work with minimal supervision and meet deadlines.

  • Professional, proactive, and detail-oriented.
