Job Summary
- The Senior Administrative Officer oversees and coordinates all administrative processes to ensure smooth operations across expatriate management, diesel and fleet operations, guest house management, liaison with government agencies, and day-to-day administration.
- The role requires strong organizational skills, high attention to detail, and the ability to implement efficient administrative systems to support the company’s operational goals.
Key Responsibilities
Expatriate Management:
- Coordinate expatriate onboarding and offboarding, including documentation, accommodation, and welfare.
- Process and renew work permits, residence permits, visas, and other immigration requirements.
- Serve as the primary contact for expatriate staff on administrative and regulatory matters.
- Maintain accurate records of expatriate documentation and compliance deadlines.
Diesel and Energy Administration:
- Monitor daily diesel consumption for generators, factory equipment, and company vehicles.
- Ensure adequate diesel supply levels and coordinate vendor procurement.
- Maintain diesel logbooks, consumption reports, and reconciliation with fuel suppliers.
- Implement controls to prevent fuel losses and inefficiencies.
Guest House and Facility Management:
- Oversee company guest houses and staff accommodations, ensuring cleanliness, safety, and proper maintenance.
- Supervise facility personnel, cleaners, security, and service providers.
- Manage guest bookings, check-ins, check-outs, and inventory of household items.
- Coordinate repairs, renovations, and periodic inspections.
Driver & Fleet Coordination:
- Supervise company drivers and assign daily transport schedules.
- Ensure proper maintenance, licensing, and documentation of company vehicles.
- Monitor fuel usage, mileage tracking, and trip records.
- Enforce compliance with safety and driving policies.
Government & Regulatory Liaison:
- Interface with relevant ministries, agencies, LGAs, and regulatory bodies for company approvals, permits, and inspections.
- Process statutory filings and ensure compliance with administrative and facility-related regulations.
- Follow up on government correspondence, documentation, and compliance timelines.
General Administration:
- Oversee office administration, supplies management, documentation, and asset control.
- Manage administrative budgets and support vendor selection and procurement.
- Develop and implement administrative policies, procedures, and SOPs.
- Support HR, Operations, and Finance in logistics, documentation, meeting coordination, and staff welfare.
- Prepare periodic administrative reports and dashboards for management.
Key Requirements
- Bachelor’s Degree in Business Administration, Public Administration, Management, or related field.
- Minimum of 8 years of administrative experience in manufacturing or industrial operations.
- Strong knowledge of expatriate documentation processes and government regulatory requirements.
- Excellent communication, negotiation, and interpersonal skills.
- Good vendor management and supervision capabilities.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Ability to work under pressure and with minimal supervision.
