Job Description
Responsibilities
Export Operations (Warehouse → Port):
- Company’s export documents: Ensure that all export documents of the company are always up to date
- Opens bookings: verify and opens NXP and Bookings
- Prepare outbound shipments: verify product availability, packaging, labelling, and export readiness.
- Organize insured transport: book trucks or containers, confirm insurance coverage, and coordinate pickup schedules.
- Manage export documentation: generate and validate packing lists, commercial invoices, certificates of origin, customs forms and others...
- Supervise loading and dispatch: oversee physical loading, seal verification, and dispatch reporting.
- Track delivery to port: monitor transit status, handle delays or incidents, and liaise with clearing agents.
Import Operations (Port → Warehouse)
- Company’s import documents: Ensure that all import documents of the company are always up to date
- Receive inbound documentation: bill of lading, supplier invoice, insurance certificate, certificate of origin, quality, quantity, fumigation certificates, customs clearance forms and others...
- Coordinate customs clearance: work with clearing agents to ensure timely and compliant processing.
- Plan return transport: arrange insured delivery from port to warehouse, validate vehicle compliance.
- Oversee warehouse reception: supervise unloading, verify quantities and condition, and complete receiving reports.
Administrative & Compliance Duties
- Ensure customs and regulatory compliance: maintain awareness of import/export laws and ensure all operations meet legal standards.
- Maintain digital and physical records: archive all transit documents, clearance files, and insurance certificates.
- Coordinate with external partners: Customs, shipping line, CMA, clearing agents, transporters, warehouse companies, and insurance providers.
Manage transport insurance:
- Verify coverage, initiate claims when needed, and follow up on reimbursements.
Key Performance Indicators (KPIs)
- Document compliance rate: % of shipments with complete and accurate documentation.
- Average transit time: warehouse to port / port to warehouse.
- Logistics incident rate: % of shipments with delays, damage, or disputes.
- Customs clearance success rate: % of shipments cleared without intervention.
Qualifications
- First degree or it's equivalent in business related course.
- Good knowledge of Ms Word and MS Excel.
- Working Relationships
- Internal: Logistics officer, Finance Team, Procurement Team.
- External: Transporters, Clearing Agents, CMA, Customs Authorities, Insurance Providers.
