Job Description
Key Responsibilities
Administrative & Clerical Duties:
- Manage incoming and outgoing calls, emails, and correspondence.
- Prepare and maintain office documents such as quotations, invoices, delivery notes, purchase orders, and job sheets.
- Maintain accurate filing systems (digital and physical).
- Schedule appointments, meetings, and production timelines as needed.
Customer Service & Sales Support:
- Greet and assist clients visiting the office.
- Provide information about printing services, pricing, and order status.
- Record and process customer orders, ensuring clear communication with the production team.
- Follow up with customers regarding deliveries, approvals, and payments.
Production Coordination:
- Liaise with designers, machine operators, and the production supervisor to relay job specifications and deadlines.
- Track job progress and update customers accordingly.
- Prepare daily/weekly job status reports.
Office & Inventory Management:
- Maintain office supplies and assist in managing printing materials inventory (papers, inks, consumables).
- Coordinate with vendors for supplies and service requests.
- Keep the office environment organized and professional.
Financial & Record Keeping Assistance:
- Assist with basic bookkeeping tasks such as preparing invoices and receipts.
- Record expenses, quotations, and job order details for reference and auditing.
- Support the accounts department in collecting and tracking payments.
Requirements
- Interested candidates should possess a Bachelor's Degree with 1 - 3 years experience.
