JOB SUMMARY
The role incumbent is the face and first contact person in the Group CEO’s office. He/she is responsible for the smooth running of the Group CEO’s office and provides Technical Support to the Group CEO directly. He/she helps the Group CEO to be efficient and productive in the day-to-day running of the business.
ESSENTIAL JOB FUNCTIONS
- He/she efficiently liaises with the Board and management staff of the company on behalf of the Group CEO, wading through huge amounts of documents to ensure the Group CEO’s attention is drawn to only the most important things requiring his direct attention.
- Represents the Group CEO at meetings and is able to act with reasonable precision and accuracy while carrying the Group CEO along with details of the meeting, resolution and actions required to be taken.
- He/she manages the Group CEO’s itinerary, meetings and helps to schedule meetings, and when in attendance take note of action points to be executed.
- May be required to travel on official assignment, alone or to accompany the Group CEO on official assignments. Incumbent must therefore be highly mobile and ready to travel at short notice.
- Ensures the Office of the Group CEO is managed professionally from the Group CEO’s staff conduct to the ambience of the Group CEO’s office.
- He/she analyses complex documents including accounting and financial documents and generates an Executive Summary; and draws attention to salient parts of large documents especially areas requiring the Group CEO’s attention and actions.
- He/she must therefore be comfortable with financial analysis, data analysis and must be able to work at professional proficiency level on Excel.
- Draft business letters and write proposals/respond to proposals etc.
- Must be conversant with travel documentation for different travel zones, monitoring for safety and security and give updates to the Group CEO.
- Assists the Group CEO to efficiently apply his time on a day-to-day basis by eliminating unnecessary meetings, visits, callers etc.
- Conduct professional research into business issues as they arise and report professionally on findings – this may include competition activities, industry best practices, environmental scanning to deeper issues of the Economy especially when it impacts transportation.
- Ensure the Group CEO is up-to-date on all business and administrative issues going on in the company
- He/she must be the bridge for smooth interaction between the Group CEO’s office and all internal departments.
EDUCATION:
- BSc. in Business Administration/Accounting/Economics or related fields
TECHNICALREQUIREMENTS
- Ms Office – Outlook, Word, Excel and PowerPoint and Adobe Acrobat.
