Job Summary
- The Chief Operation Officer will serve as the primary operational expert responsible for streamlining workflows, improving inter-departmental collaboration, and ensuring the smooth, efficient execution of core business processes across IT, Marketing, Sales, Admin and Finance.
- This role requires a strong background in IT and process methodology to implement technological and procedural changes that increase productivity and profitability.
Key Responsibilities
Process Optimization and Compliance:
- Workflow Streamlining: Analyze, map, and redesign core business processes (e.g., Lead-to-Opportunity, Quote-to-Cash, Procure-to-Pay) to eliminate bottlenecks and optimize efficiency across all departments.
- System Integration: Work with department heads and the IT team to ensure CRM, ERP, and Marketing Automation tools are properly integrated and configured to support efficient, measurable workflows.
- Best Practice Implementation: Implement and enforce operational best practices and process frameworks ( Lean, Six Sigma, ITIL) company-wide to standardize delivery and quality.
- Compliance & Risk: Ensure operational procedures adhere to internal policies and relevant regulatory requirements, mitigating operational risks.
Cross-Functional Management and Reporting:
- KPI Tracking: Define, monitor, and report on key operational performance indicators (KPIs) relevant to Sales, Marketing, IT, and Finance, providing actionable insights to department managers.
- Resource Allocation: Monitor resource utilization across key projects and operational activities, making recommendations to the CEO regarding technology, and budgetary adjustments.
- Operational Budget: Manage and forecast the operations department budget and contribute to expense control initiatives across the organization.
- IT Infrastructure Alignment (Leveraging Core Experience)
- System Reliability: Serve as the internal client liaison with the IT department, ensuring infrastructure and system stability meet the needs of Sales, Marketing, and Finance end-users.
- IT Change Management: Oversee the operational deployment and adoption of new business software or technology upgrades, ensuring minimal disruption and maximum user adoption.
Strategic Partnerships:
- Manage and strengthen relationships with technology partners (Microsoft, AWS, Amazon, Cisco, Sophos, HP).
- Ensure partner programmes and certifications are maintained and leveraged for business growth.
- Assess and oversee partnerships and vendors in the technological space.
Financial & Risk Management:
- Implement risk management frameworks for data security and regulatory compliance.
- Negotiate agreements and contracts to get the best deal possible for the company.
Person's Specification
- HND / BSc in Business Administration or related field
- 4 years of experience in Strategy/Operations.
