Job Summary




  • The Executive Assistant will be responsible for handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision.

  • The Executive Assistant will interact with all staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with ahigh level of professionalism and confidentiality.

  • Expert level written and verbal communication skills, Strong decision-making ability and attention to details are important in this position.



Responsibilities

Progress the vision of assigned startup companies by implementing marketing/business development plans to targeted markets. Responsibilities includes:




  • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.

  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently

  • Communicate and handle incoming and outing going electronic communications on behalf of the president

  • Assist the CMD /ED with preparation of presentation materials.

  • Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mails as necessary.

  • Assist in pipeline/forecast preparation and management.

  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner

  • Arrange travel schedules and reservations as needed, including expenses reimbursement

  • Work closely with the CMD/ED to coordinate and launch hardcopy or email campaigns to consultants, clients and potential clients.

  • Schedule task and coordinate with various team members

  • Administrator for all resources, products, equipment and other shared office services

  • Additional duties as assigned by the executive team



Qualifications




  • A Bachelor’s Degree, in Business, Administration, or related field preferred.

  • Minimum of five year experience in a similar role.



Skills and Competencies:




  • Excellent written and verbal communication skills.

  • Excellent time management skills; able to prioritize.

  • Motivated to take on additional projects and solve problems.

  • Comfortable in a fast-paced environment with multiple tasks and projects at hand.

  • Able to organize and manage large amounts of files, tasks, schedules, and information.

  • Self-directed and able to work without supervision.

  • Energetic and eager to tackle new projects and ideas.

  • Comfortable in both a leadership and team-player role, manages team members, leads assistant meetings, and supervises when needed.

  • Able to perform clerical duties, maintaining files and confidential information, organizing documents as needed.

  • Prior experience as executiveassistant, office administrator, or handling administrative responsibilities in a related field.

  • Highly organized multitasker who works well in a fast-paced environment.



Computer Savvy Skills:




  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars on outlook and google calendar.
