JOB DESCRIPTION


Our client, an immigration servicing company is looking for an Operations Assistant



General Purpose

Provide Operations project support and assistance. This role is critical to the ability of the firm to meet Client objectives in order to earn revenue.

A career path exists for the right candidate to grow handling Service operations/Logistics through

Accounts or Human Resources or Law or a combination of functions as Operations Assistant.

Reports directly to the Operations Manager/Chief Operating Officer



Main Job Duties and Responsibilities



  • Manage and maintain resources for work activities.

  • Co-ordinate project-based work

  • Coordinate interface with some service providers and ensure seamless delivery.


Key Performance indicators



  • prepare and edit correspondence, communications, presentations and other documents

  • design and maintain electronic databases using desktop tools

  • collate and manage electronic data

  • Electronic/physical filing & retrieval of documents and reference materials

  • conduct research, collect and analyse data to prepare reports and documents

  • Ensure resources for meetings and events are available

  • Ensure office Physical Structures and utilities are maintained and updated (Zero downtime)

  • review operating practices and implement improvements where necessary

  • monitor, screen, respond to and distribute incoming communications

  • Liaise with internal staff at all levels

  • Responsible for Office Security and Stock Control

  • supervise, coach and train lower level staff


Education and Experience



  • Year-specific experience is not required. Proven ability to provide support on high-level projects or assignments is essential.

  • proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite

  • knowledge of standard office administrative practices and procedures

  • Bachelor's degree in any discipline provided the ability to utilize and apply concepts to the role
