Job Summary
- The Administrative Officer provides comprehensive administrative and clerical support to ensure the smooth day-to-day operations of the construction company.
- The role involves coordinating office activities, managing documentation, supporting project teams, and ensuring compliance with company policies and construction industry standards.
Key Responsibilities
Administrative & Office Support:
- Manage daily office operations, correspondence, and filing systems (physical and electronic).
- Prepare letters, reports, memos, and meeting minutes.
- Maintain office supplies inventory and coordinate procurement.
Project & Site Support:
- Support project managers with documentation, schedules, and site records.
- Maintain project files including contracts, drawings, permits, and approvals.
- Track project documentation such as delivery notes, site instructions, and variation requests.
Records & Documentation:
- Maintain accurate records of staff attendance, site registers, and asset logs.
- Ensure proper documentation for compliance, audits, and regulatory requirements.
- Assist in preparing reports on project progress and administrative activities.
Coordination & Communication:
- Liaise with vendors, subcontractors, suppliers, and regulatory bodies.
- Coordinate meetings, site visits, and logistics for management and project teams.
- Serve as a point of contact between the head office and construction sites.
