Job Summary
- We are looking for a reliable Procurement & Store Officer to join our hospital team. You will manage everything from buying high-quality medical consumables to organizing the hospital store and tracking every item used.
Key Responsibilities
Smart Procurement & Sourcing
- Supplier Management: Find and vet trusted suppliers for medical drugs, surgical tools, oxygen, and office supplies.
- Cost Control: Negotiate prices and terms to ensure the hospital gets the best value without compromising on quality.
- Purchase Orders: Prepare and follow up on orders to ensure items arrive on time.
Expert Store Management:
- Receiving & Inspection: Check all incoming deliveries to ensure the quality and quantity match the order.
- Inventory Tracking: Use Excel or hospital software to keep a real-time record of what is in stock.
- Stock Rotation (FEFO/FIFO): Ensure that medical supplies with the earliest expiry dates are used first to prevent waste.
Departmental Support
- Requisition Processing: Issue supplies to the Pharmacy, Wards, and Labs based on their daily needs.
- Usage Analysis: Monitor which departments are using the most supplies and report any unusual patterns or waste.
- Cold Chain Maintenance: Ensure that vaccines and certain medications are stored at the correct temperatures.
Quality Control & Reporting:
- Conduct monthly physical stock-counts to ensure the physical stock matches the records.
- Maintain organized files for all invoices, receipts, and delivery notes.
- Report any damaged or expired goods to Management immediately.
Qualifications & Requirements
- Education: Degree or Diploma in Purchasing & Supply, Business Administration, or a related field.
- Experience: At least 2 years of experience in storekeeping or procurement. Previous experience in a hospital or pharmacy environment is highly preferred.
Skills:
- Strong knowledge of Microsoft Excel.
- Basic understanding of medical terminology and supplies.
- Excellent negotiation and communication skills.
- High level of honesty and attention to detail.
