Job Description



Duties



  • Answer phone calls and redirect them when necessary

  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments

  • Prepare and disseminate correspondence, memos and forms

  • File and update contact information of employees, customers, suppliers and external partners

  • Support and facilitate the completion of regular reports

  • Develop and maintain a filing system

  • Check frequently the levels of office supplies and place appropriate orders

  • Make travel arrangements

  • Document expenses and hand in reports

  • Undertake occasional receptionist duties.

  • Managing the day-to-day operations of the business, such as scheduling appointments with clients, answering phone calls and emails, and filing paperwork

  • Scheduling meetings with clients and other parties involved in real estate transactions

  • Coordinating with other members of the team to complete tasks such as preparing contracts or sending notices to tenants

  • Providing support to brokers and other agents with administrative tasks such as scheduling appointments, answering phones, and taking notes during meetings

  • Handling incoming and outgoing mail, filing documents, maintaining databases, and providing general office support

  • Coordinating repairs and maintenance with contractors and landlords, including communicating with tenants to schedule appointments and ensure timely completion of work

  • Managing listings of properties for sale or rent, including uploading photos, creating brochures, and sending out marketing materials

  • Keeping abreast of local real estate laws and regulations, government regulations that affect real estate, and market conditions to help identify potential investment opportunities

  • Drafting letters and notices to clients, colleagues, vendors, or other parties involved in real estate transactions


Requirements



  • NCE / ND in any Discipline

  • 2 - 3 yaers of work experience.

  • Proven work experience as a Secretary or Administrative Assistant

  • Familiarity with office organization and optimization techniques

  • High degree of multi-tasking and time management capability

  • Excellent written and verbal communication skills

  • Integrity and professionalism

  • Proficiency in MS Office.

  • Applicants must reside close to the location of the office (Berger, Arepo and Magboro axis)
