Answer phone calls and redirect them when necessary
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
Prepare and disseminate correspondence, memos and forms
File and update contact information of employees, customers, suppliers and external partners
Support and facilitate the completion of regular reports
Develop and maintain a filing system
Check frequently the levels of office supplies and place appropriate orders
Make travel arrangements
Document expenses and hand in reports
Undertake occasional receptionist duties.
Managing the day-to-day operations of the business, such as scheduling appointments with clients, answering phone calls and emails, and filing paperwork
Scheduling meetings with clients and other parties involved in real estate transactions
Coordinating with other members of the team to complete tasks such as preparing contracts or sending notices to tenants
Providing support to brokers and other agents with administrative tasks such as scheduling appointments, answering phones, and taking notes during meetings
Handling incoming and outgoing mail, filing documents, maintaining databases, and providing general office support
Coordinating repairs and maintenance with contractors and landlords, including communicating with tenants to schedule appointments and ensure timely completion of work
Managing listings of properties for sale or rent, including uploading photos, creating brochures, and sending out marketing materials
Keeping abreast of local real estate laws and regulations, government regulations that affect real estate, and market conditions to help identify potential investment opportunities
Drafting letters and notices to clients, colleagues, vendors, or other parties involved in real estate transactions
Requirements
NCE / ND in any Discipline
2 - 3 yaers of work experience.
Proven work experience as a Secretary or Administrative Assistant
Familiarity with office organization and optimization techniques
High degree of multi-tasking and time management capability
Excellent written and verbal communication skills
Integrity and professionalism
Proficiency in MS Office.
