General Function & Key Objectives




  • The Fleet Officer will oversee all aspects of fleet operations, including vehicle maintenance, repairs, documentation renewals, insurance management, tracking systems, vendor relationships, and compliance.

  • This role requires a hands-on approach to ensure all the company vehicles are operational, cost-effective, and compliant.

  • The Fleet Officer will serve as the key point of contact for all vehicle-related matters across the group.



Primary Responsibilities




  • Manage day-to-day operations of the entire company fleet.

  • Oversee routine maintenance, servicing, and repairs of all vehicles.

  • Handle vehicle documentation renewals, including licenses, registration, and roadworthiness certificates.

  • Manage the company’s vehicle insurance portfolio – renewals, claims, and policy management.

  • Maintain and monitor car tracking systems; ensure real-time vehicle tracking and coordinate with employees.

  • Maintain up-to-date records of each vehicle, including maintenance history, logbooks, registration, and inspection reports.

  • Liaise with approved vendors for repairs, maintenance, insurance, and compliance documentation.

  • Provide accurate time records of the company vehicles going out and coming in and signing logbook register for taking and returning vehicle keys.

  • Prompt reporting of any accident, injury, and vehicle damage to the HR/Admin manager for necessary actions

  • Conduct regular vehicle inspections and audits to ensure roadworthiness and regulatory compliance.

  • Monitor fuel usage and overall vehicle utilization where applicable.

  • Ensure adherence to policies and assist in policy development and implementation.

  • Prepare and submit timely reports on fleet performance and operating costs.



Requirements & Skills




  • Proven experience in fleet or transport management.

  • Strong organizational and record-keeping skills.

  • Knowledge of vehicle maintenance and regulatory requirements.

  • Ability to manage multiple vendors and negotiate service agreements.

  • Proficiency with vehicle tracking technologies and related software.

  • Excellent communication and reporting skills.

  • Attention to detail and ability to conduct physical inspections.
