Role Overview




  • The Order Fulfilment Executive is responsible for processing, verifying, and coordinating customer orders from confirmation to final dispatch.

  • This role serves as a critical operational control point before products leave the warehouse, ensuring all orders meet strict accuracy, payment verification, and documentation standards.

  • The successful candidate must demonstrate exceptional attention to detail, strong process discipline, and the ability to manage multiple orders in a fast-paced operational environment.

Key Responsibilities

Order Processing & Verification:




  • Process customer orders using the company ERP system (Odoo) and internal order documentation.

  • Verify order details including product specifications, quantity, pricing, and payment confirmation before processing.

  • Ensure all order records are accurately documented in accordance with company procedures.



Order Fulfilment Coordination:




  • Coordinate with warehouse and inventory teams to ensure correct product picking and packing.

  • Track order progress and ensure orders are fulfilled within required timelines.

  • Escalate potential delays or discrepancies promptly.



Dispatch Accuracy Control:




  • Conduct final verification checks before order dispatch.

  • Confirm that items released match customer orders in specification, quantity, and documentation.

  • Verify serial numbers where applicable for high-value items such as laptops and tablets.



Inventory Control Support:




  • Report discrepancies between physical inventory and ERP records immediately.

  • Support inventory reconciliation exercises when required.

  • Ensure accurate documentation during stock handover to logistics teams or customers.



Customer Communication:




  • Provide order updates where required.

  • Escalate order issues or stock shortages promptly.

  • Ensure all order communication records are properly documented.



Process Compliance:




  • Follow all Standard Operating Procedures (SOPs) related to order processing and dispatch.

  • Reject or suspend order processing where payment confirmation or required documentation is incomplete.

  • Identify and report operational gaps that could lead to fulfilment errors.



Requirements

Education:

OND / HND / BSc in any of the following fields:




  • Business Administration

  • Logistics or Supply Chain Management

  • Operations Management

  • Related disciplines



Experience:

1–3 years experience in any of the following areas:




  • Order fulfilment

  • Inventory management

  • Warehouse operations

  • Logistics coordination

  • ERP-based operational environments



Technical Skills:




  • Familiarity with ERP systems (Odoo experience is an advantage)

  • Strong knowledge of Microsoft Excel or Google Sheets

  • Ability to reconcile orders, invoices, and stock records
