Job Summary



The HR/Admin Assistant will support the HR Manager in the effective coordination of human resources and administrative activities, while taking primary responsibility for the proper management, maintenance, documentation, and utilization of the company's vehicles and fleet.



Key Responsibilities




  • HR Support: Assist the HR Manager with day-to-day HR activities, including staff documentation, onboarding, attendance, leave administration, and employee records.

  • Fleet Management: Manage and maintain an up-to-date register of all company vehicles, including vehicle allocation, assigned drivers/users, mileage, usage, and operational status.

  • Vehicle Maintenance: Coordinate and monitor routine servicing, preventive maintenance, repairs, inspections, cleaning, and other maintenance activities for all company vehicles.

  • Vehicle Documentation: Monitor and ensure the timely renewal and validity of vehicle insurance, roadworthiness certificates, licenses, and other statutory documents.

  • Fuel & Vehicle Usage Monitoring: Maintain accurate records of fuel consumption, mileage, trip logs, and vehicle usage, and report unusual or unauthorized usage to management.

  • Mechanic Coordination: Liaise with approved mechanics, workshops, and other service providers, obtaining quotations and following up on approved repairs and maintenance.

  • Vehicle Scheduling & Compliance: Coordinate the allocation and scheduling of company vehicles for official assignments and ensure that vehicles are used responsibly and in line with company policies.

  • Office Administration: Support the smooth running of the office by coordinating administrative supplies, facilities, equipment, repairs, vendors, and other general administrative activities.

  • Reporting & Cost Control: Prepare periodic reports on HR/admin activities, vehicle maintenance, fuel consumption, fleet utilization, and related expenses, while identifying opportunities for cost savings.

  • Policy & Compliance: Ensure compliance with company HR, administrative, and fleet management policies, maintain confidentiality, and promptly report incidents, vehicle breakdowns, accidents, misuse, or other operational concerns to the HR Manager and management.



Qualifications & Requirements




  • OND or HND in Business Administration or any related field.

  • 1–2 years’ experience in administration, fleet and vehicles management.

  • Strong understanding of administration and vehicle maintenance.

  • Proficiency in Microsoft Excel and other Microsoft office tools.

  • Strong negotiation and analytical skills.
