Job Description

Administration:



  • Manage administrative functions to ensure efficient and consistent operations within the organization

  • Supervise the day-to-day operations of the administrative department and staff members.

  • Act as the administrative point of contact between Executives, Internal/External clients

  • Undertake the task of receiving calls, messages, and route correspondences accordingly

  • Handle all travel and logistics management (flight reservations, hotel bookings, visa applications)

  • Manage all Insurance related matters for Whogohost

  • Work closely and transparently with all affiliates, external partners, vendors, government agencies, and consultants

  • Ensure the office is stocked with necessary supplies and that all equipment is working and properly maintained.

  • Work with the Finance & Management teams to set budgets, monitor spending, and process any other expenses.

  • Source for refreshments/meals during office programs/training/meetings/get-togethers etc

  • Provide and manage work tools given to employees and also manage all assets in the office

  • Ensure that employees who work from the office have approval and have signed the office work policy

  • Assist with any operational area required by Senior Management

  • Contribute to team effort by accomplishing set KPI

  • Maintain record on filing of client contracts, legal, and carry out due diligence

  • Act as a point of contact between the external legal team and Whogohost


Compliance:



  • Ensure the company obeys government regulations, complies with laws, follows policies and contractual obligations, meets eligibility requirements for licenses and permits, and more

  • Manage SLA’s and OLA’s management

  • Ensure all client's data are accurate

  • Ensure the company Terms of Service is updated

  • Prepare and file documents to Law Enforcement Body

  • Advise management on the company’s compliance with laws and regulations through detailed reports.

  • Ensure that the company operations and business transactions follow all relevant legal and internal rules

  • Act as the Data Protection & Privacy Representative of the organization.


Person Specification & Requirements



  • Candidates should possess an HND / B.Sc / Master's Degree

  • Minimum of 5 years of work experience in business administration, management, or a related field.

  • If you have led/supervised a team, it is a plus

  • Proficient in the use of MS Office and ERP (Enterprise Resource Planning)

  • Exceptional leadership and time, task, and resource management skills.

  • Ability to plan for and keep track of multiple projects and deadlines.

  • Excellent communication and people management skills are compulsory.
