Job Description
- General Office Management
- Leads change management initiative, conducting field visits and standardizing processes.
- Collaborates with management on bid package preparation.
· Manages contract and price negotiations with vendors and service providers
- Prepares progress schedules, analyse project requirements and manage staffing/ manpower plans to ensure efficient and effective use of company staffing and equipment resources.
- Implements system to track materials usage and project progress for various jobs.
- Functions as funds administrator to include billing and invoicing.
- Processes contractor invoices for progress and final payment.
· Maintain the office condition and arrange necessary repairs
- Prepares weekly status report for all constructions using Microsoft Project Manager or Microsoft Excel
- Audits invoices against purchase orders and budget for cost accounting entry and payables
- Works closely with engineers and sub-contractors to resolve any discrepancy.
- Proficiently ensure critical compliance with mandated State and Federal guidelines
- Oversees the accounts payable process including the coding and approval of all invoices and subcontractor payment applications.
- Schedules and maintains meetings to provide the project engineers on all administrative duties related to their projects
- Maintains Excel spreadsheets for Bi-monthly budget meetings and business evaluation
- Maintains inventory and order and maintain stock and logs
- Managessupplies to workers on job sites
· Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
Requirements:
A minimum of a Bachelor’s degree from a recognized university in Social sciences, Engineering and other related courses. MBA is an added advantage.
