Who Are We Looking For?
An Executive Assistant/Company secretary to provide executive, administrative, and development support to the Managing director in the healthcare industry. The Executive Assistant serves as the primary point of contact for all internal and external constituencies on all matters pertaining to the Managing director and will act as a liaison to the Management Team. In addition, the Executive Assistant will also be responsible for representing the Managing director at departmental meetings to ensure the successful organization and coordination of projects and communication across the company. The ideal candidate will be self-motivated, highly organized, mission-driven, and exercise independent judgement.
Essential Functions:
- Communicates with the general staff on the Managing director’s behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the Senior Leadership Team, Management Team, and staff.
- Communicates directly and on behalf of the Managing director with Board members, donors, and others on matters related to programmatic initiatives as directed.
- Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Managing director's ability to effectively lead the company
- Actively manages the Managing director’s workload by acting as a gatekeeper and following up on meetings and deadlines. Manages incoming calls and visitors and knows when to conserve Executive’s time.
- Manage meeting agendas, presentations, and other Department reporting. Plans and executes travel arrangements, coordinates corporate meetings and records minutes for designated meetings. Schedule events and provide event management support as needed.
- Responsible for screening and directing phone calls, distributing correspondence, including filing, and dispersing incoming and outgoing mail and updating records. Maintains scheduling and organization of common spaces and conference rooms.
- Accomplishes errands, as requested.
- Leads and/or participates in special projects, as requested.
Education And Work Experience
- Bachelors’ Degree requirement
- Minimum 3 years’ experience in an administrative role in support of an Executive Leader
- Strong understanding of the internal organizational dynamics, and familiar with who does what within the organization.
- Effective communication skills at executive level, both oral and written, along with solid interpersonal skills
- Ability to balance competing priorities from multiple teams while maintaining professional discretion
- Ability to coordinate the input of others.
- Excellent time management skills
- Requires strong sense of urgency to complete tasks.
