Job Description



Mission

The Organisation Officer is responsible for the daily organisation operational task including:



  • Update, completeness and compliance of all operational procedures, processes, WINs, forms, and other work tools

  • Work with all stakeholders on every new policy, procedure and ensure once approved communication to all concern staff

  • Put in place Policy and procedures in alignment with Advans and regulatory requirements.

  • Reporting.


Main Responsibilities

PPG Management and Improvement:



  • Identification of outdated document for review or removal

  • Creation of new PPG documents with/without working with other departments

  • Identification of changes in the bank's operations.

  • Relating with the PPG Product Managers of other Departments and PPG Champions of the Network for update on departmental policies, procedures and work tools

  • Engage in training of PPG documents and other operational information/activities

  • Follow up on compliance of PPG

  • Communicates the improvement required on operational procedures to the Branch Support and Organisation officer for necessary update in PPG

  • Organize a steering committee after every revision or new policy/ procedure put in place

  • Work with HR to ensure the training with the end users is done

  • Put the policy/procedure on the share point that has access to all concerned stakeholders.

  • Ensure all Policies have a clear process map


Report Management:



  • Ensure daily, weekly, monthly reports are updated on time and ensure that all reviewed policy and/or procedures is placed on the SharePoint.

  • Established Minutes of all PPG steering meetings and archive them in an electronic file

  • Report every year on the revision of all existing policy and other documents to ensure updates are being done where necessary and in accordance with Group Standard.

  • Create or review report files as the need arises

  • Coordinate with branches in policies that are outdated and inconsistent with the practices

  • Submission of report to the compliance to ensure alignment of all policies to the regulatory requirements.


Profile

Person's Specification:



  • Candidates should possess relevant qualifications and work experience.

  • An existing confirmed staff of Advans Nigeria who has worked in the bank for at least 12 months.

  • Must be highly proficient in Excel.

  • Good communication skill.

  • Must have knowledge about all pol_pro_guide.

  • Good customer service skill.
