Job Description



Job purpose


The office holder will ultimately be responsible for maintaining and increasing the efficiency and performance of the organization in the country.


The position will also be responsible for planning, coordinating, and monitoring logistics operations such as inventory, transportation, and the supply chain processes of the organization in the country.


He/ She will provide leadership and technical support to country procurement overseeing the organization’s sourcing capabilities negotiating contracts and acquiring the most cost-efficient results without compromising on quality.


Duties and responsibilities


Operations




  • Ensuring all organizational operations are carried on in an appropriate and cost-effective approach.




  • Ensure Evidence Action organization’s processes remain legally compliant at all times.




  • Build alliances and partnerships with government partners, other organizations and key stakeholders in the country.




  • Carry out supervisory responsibilities for Operations and Logistics staff in accordance with the organization's policies and applicable laws.




  • Work closely with the Country Director and the Manager Operations, WCA Region to set and implement policies, procedures, and systems and to follow through with implementation.




  • Work closely with department and unit leads to ensure successful implementation of program activities by providing the needed support.




  • Ensure Evidence Action staff and assets are insured with the insurance companies as every given time.




Logistics Duties for Country Program




  • Organize all transportation needs for the organization's training and program materials to reach their final destinations.




  • Collaborate with freight and courier transport companies to plan deliveries and shipments.




  • Work with the state logistics officers in organizing the storage and distribution of deworming drugs, training and program materials.




  • Ensure effective quantification and distribution of drugs, program and training materials for the different LGAs in the states.




  • Liaises with both external and internal contacts in the project states to ensure follow-up and execution of planned activities




Office Management and Administration




  • Ensure the smooth running of Evidence Action offices across the country on a day-to-day basis.




  • Ensure Evidence Action rents are renewed as at when due and all lease agreements duly signed by all parties.




  • Ensure all service level agreements and agreements for the country program are dully signed and in file.




  • Ensuring the safety of staff, organizational assets, program materials by establishing, following, and enforcing standards and procedures; complying with organization and legal regulations.




  • Ensure the provision and maintenance of an efficient internet and ICT support across Evidence Action offices in the country.




  • Ensure regular update and tagging of the country program assets inventory on fresh service platform.




  • Ensure all Office equipment are regularly serviced and maintained in line with Evidence Action policy




Procurement and supply chain:




  • Identify and negotiate with suppliers to ensure transparent and cost-effective sourcing




  • Developing order plans to ensure time and cost-effectiveness of orders




  • Ensure Adherence to donor regulations in international sourcing.




  • Manage every aspect of the supply chain and notify the DFA-AR/management team of any possible obstacles to ideal efficiency




  • Manage policies and procedures for risk management and mitigation




  • Map out current supply chain and identify key areas for improvement




  • Work with program leads to develop quarterly procurement plan for the country program.




Requirements


Qualifications include:




  • A Bachelor’s degree in any related field, with a master’s degree as an advantage.




  • A minimum of 5 years’ experience in office management, operations, and leadership role.




  • Ability to build consensus and relationships among partners, staff and employees.




  • Excellent communication skills.




  • Ability to develop, implement, and review policies and procedures.




  • Knowledge of organizational effectiveness and operations management




  • Ability to address problems and opportunities for the organization.




Preferred Qualifications




  • Higher education (Master’s Degree in relevant field




  • Professional Certification




  • Management experience (Experience leading a team)




  • International Development experience (Experience working for a non-profit)




Working conditions




  • This position will on special occasions require the position holder to work on weekends or after normal working hours.




  • The position holder will be based in Abuja but will be required to travel across the field offices in the country from time to time.
