Location : Oyo 


Job Brief


A Pharmaceutical Company, based in Oyo State, with other subsidiaries, is urgently in need of a matured and experienced Human Resource Practitioner & Administrator.


JOB SUMMARY 

The Head, Human Resource & Administration will lead, direct and manage the day-to-day Human Resources and Administrative activities for the company. He/She will provide oversight and guidance to the development and monitoring of processes related to recruitment and retention, compliance, performance management, employee relations, benefits, training and development; as well as oversee administrative functions, e.g. fleet management and having interface with government agencies. In all, the Head, Human Resource & Administration will provide strategic guidance on Human Resource to the company and its subsidiaries. 


JOB SCHEDULE 

The job responsibilities of the Head, Human Resource & Administration include, but not limited to:


 Recruitment and Retention: 



  • Develop and oversee recruitment processes 

  • Design job specifications for all vacant positions 

  • Review job advertisements prior to posting, screen CVs, conduct telephone screenings, coordinate interview teams, participate in interviewing candidates and ensure that documentation is collected and recorded/filed.

  • Oversee all employee engagement for the company and its subsidiaries pan-Nigeria and manage the new hire on-boarding and exit process. 


Compliance and Record Keeping:



  • Annually review the Personnel Handbook recommending amendments needed due to changes in company policies, rules and regulations and/or labour laws 

  • Manage timesheets for office, ensuring timely submission, approval, accuracy, and filing of reports

  • Update staff data base


Performance Management:



  • Facilitate job analysis and update job descriptions.

  • Develop, in conjunction with other heads of department, key performance indicators for all employees 

  • Design appraisal form for all employees 

  • Monthly/Quarterly coordinate performance appraisal of all employees 

  • Decide, with the management, the appraisal performance cut-off for the payment of performance bonus 

  • Monitor and send appraisal feedback 


Reward/Benefit Management: 



  • Prepare monthly payroll for the payment of salary

  • See to the payment of quarterly performance bonus

  • Review employee final payments for accuracy and compliance with labour laws. 


Training & Development :



  • Evaluate the need for employee training and development and make recommendations.

  • Coordinate internal training and update training records 


Employee Relations: 



  • Work with senior management team to resolve employee relations issues pragmatically.

  • Investigate employee relations issues & work to ensure human resources related decisions

  • are consistent and fair. 


Administration:



  • Ensure smooth running of all administrative functions in the company e.g. premises management & maintenance, cleanliness of environments/ offices/toilets, etc.

  • Fleet management – movement/allocation of vehicles, general repairs, maintenance; update of vehicle documentation; etc

  • Work with external government agencies e.g. Police; VIO; FRSC

  • Handling all the company’s court cases by having interface with the company’s lawyer(s)

  • Monthly submission of reports to the Group Managing Director, on update of recruitment/engagement or exit of employee, any outstanding recruitment, update of temporary staff e.g. IT Students/Corpers, update on recovering of outstanding debts from exit employees, etc.


QUALIFICATION & EXPERIENCE



  • PHARMACEUTICAL/MANUFACTURING EXPERIENCE IS HIGHLY IMPORTANT

  • First Degree in related discipline

  • Master’s Degree in human resources or related discipline is an added advantage

  • Minimum of 15 years-experience in the field of human resources & administration, at least 5 years of which must be as a human resource department lead/head

  • A qualified member of Chartered Institute of Personnel Management of Nigeria (CIPM) or any other related professional body

  • Experience of pharmaceutical/manufacturing company is a plus. 


Other Competencies/Abilities/Skills Required



  • Must be familiar with Nigeria Labour Laws and regulations governing Human Resources Practitioners in Nigeria

  • Ability to work with other managers to assess complex issues pragmatically.

  • Ability to define problems, establish facts, analyze situations and make decisions.

  • Excellent written and verbal English and local language skills.

  • Ability to interact with and lead employees at various levels.

  • Strong understanding of confidentiality as it relates to Human Resources.

  • Proficient in MS Office, including Word, Excel and Powerpoint.
