An Apex organisation in the organised private sector wishes to urgently recruit the following:


Position: Head of Finance & Admin Department


Reports to:

Director-General


Summary: Serves as a direct report to the Director-General. Maintains/manages financial information (checks book balances, savings account, loans/notes, money market etc). Administers the maintenance of equipments & materials, maintains adequate office supplies and materials. Signs off on purchase orders where necessary. Co-ordinates with the Director-General to maintain up-to-date personnel files and supervise other administrative duties.


Knowledge, Skills, Abilities, Education:



  • Financial book keeping experience

  • Some Chamber of Commerce or trade related Membership organisation experience desirable

  • Working knowledge of non profit organizations

  • Computer data based knowledge & typing skills

  • Professional appearance

  • A First Degree or equivalent preferred in general business or related field together with a chartered accounting qualification (any of ICAN, ACCA, etc)


Job description:



  • Financial management of the accounts of the organisation and others as directed.

  • Track and collect reimbursement to the association from all sources. This includes data coding and data entry of all receipts to the correct account. Data entry and other arrangements that are necessary for disbursements.

  • Ensures that all taxes are properly recorded and filed on time.

  • Work with the Membership Department to generate all subscription renewal invoices.

  • Does individual billing when necessary, including billing for special events.

  • Prepares correspondences on employee benefits and other personnel/administrative issues.

  • Prepares payroll information/service or performs payroll functions in-house (checks, tax deposit, quarterly and annual reports).

  • Maintains other records such as personnel recruitment, retirement, salaries, workmen's compensation, equipment purchases and leases.

  • Generally supervises employee vacation records, sick and other types of leave with approval from the Director-General.

  • Makes recommendations pertaining to financial matters/issues for approval by the Director-General.

  • Co-ordinates with external auditors/accountants, reviews completed financial reports and audit. Prepares Annual, Quarterly and other required periodical Management Accounts/Reports.

  • Maintains and updates computer records, equipment and softwares upon approval by Director-General.

  • Maintains credible Membership financial records.

  • Arranges for repair/maintenance of buildings and equipment.

  • Maintains all general supplies at an adequate level and general office supplies purchases.

  • Oversees preparation of meeting notices, reminder calls and prepares minutes for necessary committees and Council and other duties as required.
