Job Description



  • The Grants Officer plays a key role in preparing proposals and reports to donors, and in grants management.

  • The incumbent will act as the primary contact for all contracts, grants, and agreements.

  • Review program/project proposals to ensure technical compliance and consistency with organizational program principles and donor funding criteria.

  • Develop grant narratives working in close coordination with the Programs units.

  • Provide guidance for problem-solving in relation to a wide variety of implementation, programmatic and regulatory difficulties that may arise in large programs.

  • Ensure maintenance of full compliance with legal and documentation requirements for all program activities in accordance with the requirements of donors.

  • Ensure ongoing monitoring of grant program goals and monthly performance reports as required.


Key Job Responsibilities

The Grants Officer will be responsible for the following: -



  • Keeping the Grants overview up to date and assisting with other grants and administrative management tasks;

  • Assisting with reporting and proposal development tasks, including organizing discussions with program unit, drafting and finalizing reports and proposals;

  • The candidate must have experience in writing/developing technical solicitations for grants from donors.

  • To support the organization in the design, development and implementation of grant solicitation strategies.

  • To undertake research and produce a database of international and local donor organizations.

  • Monitor donor organizations and websites to identify and inform donor opportunities matching the work of the PMS.

  • To undertake research and produce a database of international and local organizations with similar goals and interests with PMS.

  • Identify and inform on organizations PMS can partner with for a mutually beneficial relationship.

  • To establish and maintain effective relationships and oversee contact with potential and actual donors, ensuring that relationships are managed in an effective and timely manner.

  • Ensure all donations/grants/pledges are acknowledged and appreciated promptly.

  • To undertake regular research and analysis into trends, opportunities and issues affecting donor and trust giving.

  • To identify, develop opportunities and assist in fundraising activities in support of the work of PMS.

  • To work closely with program/project team to ensure the consistency of key PMS messages and brand.

  • To maintain accurate and up-to-date records of all work.

  • To undertake additional tasks and responsibilities which may arise from time to time and which are relevant to the post.


Job Requirements



  • Candidates should possess an HND / Bachelor's Degree in Public Health, Business Administration or a related field.

  • At least 2 years experience (Past experience working in a healthcare organization would give an additional advantage)

  • Excellent level of written and spoken English, including drafting and editing skills.

  • Comfortable with MS Office – Word/Excel/PowerPoint/Outlook

  • Proven attention to detail, time management and organizational skills; experience in project management is a strong asset;

  • Ability to multi-task and work independently to meet tight deadlines;

  • Proven track record in grant writing including but not limited to international donor grants, capacity-building proposals and funding requests to private and public foundations.

  • Knowledge of grants and grant administration systems, processes

  • Candidate must have working knowledge of USG/CDC funding agency procedures and compliance requirements and regulations of sponsored research; contracting and subcontracting practices; legal distinctions between gifts, grants, knowledge of federal agency practices, regulations and policies; conflicts of interest and intellectual property.

  • Sound working knowledge of funding sources (e.g. USG, DfID, World Bank, Global Fund)
