Job Description
- The Secretary - Contract Staff is responsible for providing administrative and clerical support to the organization's managers and employees.
- They are contracted for a specific period of time to support the organization's operational and administrative needs. The Secretary – Contract Staff must be able to work independently in a fast-paced environment and provide high-quality support to the management team.
Responsibilities
- Answer and direct phone calls, emails, and other inquiries to the appropriate person or department.
- Schedule meetings and appointments for the management team.
- Prepare and distribute correspondence, reports, and other documents as needed.
- Maintain accurate records and files.
- Assist in the preparation of presentations, reports, and other documents.
- Handle sensitive and confidential information with discretion.
- Coordinate travel arrangements for the management team.
- Order and maintain office supplies and equipment.
- Perform other administrative and clerical duties as needed.
Qualifications, Experience, and Attributed Skills
- HND or equivalent, in relevant field
- Minimum of 3 years of experience in an administrative or secretarial role.
- Excellent organizational and time management skills.
- Strong attention to detail and ability to work independently.
- Proficient in Microsoft Office Suite and other office management software.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Experience with event planning and coordination is a plus.
- Strong problem-solving skills and ability to handle confidential information with discretion.
- Willingness to learn and adapt to new tasks and responsibilities as needed.
