Job Overview:
The Administrative Assistant will provide administrative support to the office and ongoing programs by performing various clerical and administrative duties.
JOB REQUIREMENT:
He/she:
- Must be a First Degree holder in Business Administration, Accounting, Economics, any other social science or its equivalent.
- Must have at least 2 years of experience in an administrative support role with excellent written and verbal communication skills.
- A First Degree holder from another background with at least 4 years of experience in administrative support role in a reputable organization is also eligible to apply.
- Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Must possess the ability to multi-task and prioritize tasks effectively.
- Must have strong organizational skills and attention to details.
- Must be able to work independently and as part of a team.
JOB DESCRIPTION:
He/she shall work under the supervision of the Country Director to discharge the following responsibilities:
- Answer and direct phone calls to appropriate personnel
- Receive visitors and direct them to the appropriate person(s) or department(s)
- Manage and organize departmental files, records, and databases
- Assist with scheduling and coordinating meetings and appointments
- Prepare and distribute correspondences, documents, and reports
- Process departmental mails and packages
- Order and maintain office supplies and equipment
- Provide general support to visitors and staff
- Make travel arrangements and book meetings; arrange necessary local travel for visitors
- Ensure management of petty cash
- Maintain and order office supplies
- Carry out other duties as may be assigned from time to time.
