KEY RESPONSIBILITIES



  • Greet and welcome guests as soon as they arrive at the office with a positive attitude

  • Announce visitors where necessary and direct them to the appropriate person and office

  • Answer, screen and forward incoming phone calls

  • Ensure reception and office areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

  • Ensure that all office machinery and equipment are in good working order

  • Provide basic and accurate information in-person and viaphone/email

  • Receive, sort and distribute daily mail/deliveries

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

  • Order office supplies and keep inventory of stock

  • Update calendars and schedule meetings

  • Arrange travel and accommodation

  • Host meetings: Preparing meeting and training rooms

  • Keep updated records of office expenses and costs

  • Prepare letters, presentations and reports.


QUALIFICATIONS



  • Bachelor’s Degree in Business Administration,

  • Proven work experience as a Front Desk Executive, Front Office Representative or similar role

  • Proficiency in Microsoft Office and Google Suite

  • Hands-on experience with office equipment (e.g. Computers and printers)
