Position Description:


The Executive Assistant Intern at Ophel Consult plays a crucial role in providing valuable support and assistance to our lead consultant. This internship opportunity offers exposure to the administrative functions and responsibilities associated with supporting high-level professionals. The successful candidate will demonstrate a proactive attitude, strong organizational skills, and an unwavering attention to detail.


Responsibilities:


Calendar and Schedule Management:



  • Collaborate with the team to efficiently manage the consultant's calendar by scheduling appointments and coordinating meetings.

  • Assist in making travel arrangements, including accommodations and itineraries for business trips.

  • Provide support in preparing meetings, reminders, and relevant materials.


Communication and Correspondence:



  • Assist in screening and prioritizing incoming calls, emails, and messages, redirecting them as necessary.

  • Aid in drafting, editing, and proofreading correspondence, reports, and other documents.

  • Support effective communication on behalf of the executive both internally and externally.


Administrative Support:



  • Perform general administrative tasks, such as organizing files, records, and documents.

  • Assist in preparing meeting agendas, minutes, and following up on action items.

  • Contribute to the coordination and organization of events, conferences, or company-wide activities.


Information Management:



  • Handle sensitive information with the utmost confidentiality and maintain discretion.

  • Conduct research, gather data, and contribute to reports or presentations as required.

  • Assist in managing databases, contact lists, and organizational charts.


Project Coordination:



  • Aid in planning and coordinating special projects or initiatives.

  • Assist in tracking project milestones, deadlines, and deliverables.

  • Collaborate with cross-functional teams to support project progress and successful completion.


Relationship Management:



  • Foster positive relationships both internally and externally.

  • Assist in liaising between the executive and various departments, teams, or clients.

  • Provide support to the executive in addressing inquiries or resolving issues.


Requirements:



  • Currently enrolled in a relevant degree program or recently graduated.

  • Serving corps member without an assigned Place of Primary Assignment (PPA).

  • Strong organizational and time management skills.

  • Clear and effective written and verbal communication abilities.

  • Proficiency in productivity tools, such as the Microsoft Office suite and AI technologies.

  • Ability to handle multiple tasks, prioritize effectively, and adapt to changing priorities.

  • Demonstrates discretion and respects confidentiality.

  • Exceptional attention to detail and a commitment to accuracy.

  • Strong problem-solving and decision-making skills.

  • Excellent interpersonal skills.

  • Flexibility to accommodate the needs of the internship, including working outside regular office hours.


Duration and Compensation:


This is an internship position with a duration of approximately 3 to 6 months, depending on the project's needs and the intern's availability. Ophel Consult provides interns with allowances, performance incentives, and other necessary motivation to support their professional growth and development.
