OVERALL FUNCTION



  • We are currently seeking a friendly and detail-oriented individual to join our team as a Front Desk Representative.

  • As the first point of contact for our students, faculty, and visitors, you will play a crucial role in providing excellent customer service and ensuring a smooth administrative experience.


KEY RESPONSIBILITIES



  • Greet and welcome students, faculty, and visitors, creating a positive and welcoming atmosphere.

  • Answer incoming calls and emails, providing prompt and accurate information or directing them to the appropriate department.

  • Assist students with inquiries, enrollment, and registration processes.

  • Schedule appointments and manage calendars for faculty and staff.

  • Coordinate and manage room bookings for meetings, events, and classes.

  • Maintain and update student and faculty records in the database.

  • Assist with administrative tasks such as filing, data entry, and document preparation.

  • Provide general administrative support to various departments as needed.

  • Handle student complaints or issues, escalating them to the appropriate department when necessary.

  • Ensure the front desk area is clean, organized, and well-stocked with necessary supplies.


QUALIFICATIONS AND SKILLS:



  • A minimum of a Bachelor's degree or OND in education is required. Additional education or certification in administration or customer service is a plus.

  • Previous experience in a front desk, receptionist, or customer service role is preferred.

  • Excellent communication and interpersonal skills, with the ability to effectively interact with students, faculty, and visitors from diverse backgrounds.

  • Strong organizational and multitasking abilities, with a keen attention to detail.

  • Proficient in using office equipment, including phone systems, computers, and relevant software applications.

  • Ability to handle confidential information with discretion and maintain a professional demeanor at all times.

  • Strong problem-solving skills and the ability to remain calm and composed in fast-paced and sometimes challenging situations.

  • Customer service-oriented mindset with a passion for providing exceptional service to students and faculty.

  • Flexibility to work occasional evenings or weekends as required.
