  • We seek a highly organized and detail-oriented individual to join our team as an Entry-Level Executive Assistant. As an Executive Assistant, you will provide administrative support to The Managing Director and ensure the smooth operation of the office.

  • You will play a crucial role in assisting with various tasks and projects, managing schedules, coordinating meetings, and maintaining effective communication within the organization.


Responsibilities



  • Provide administrative support to the executive team, including calendar management, travel arrangements, expense reporting, and meeting coordination.

  • Manage and organize executive schedules, ensuring appointments and meetings are scheduled efficiently.

  • Prepare and distribute correspondence, memos, reports, and presentations as required.

  • Assist with the preparation and coordination of meetings, including agenda creation, meeting room setup, and document preparation.

  • Take meeting minutes and follow up on action items to ensure timely completion.

  • Screen and direct incoming calls and emails, responding when appropriate or forwarding to the appropriate team member.

  • Maintain high confidentiality and handle sensitive information with professionalism and discretion.

  • Conduct research and gather information to support decision-making and provide recommendations as needed.

  • Assist with special projects, such as event planning, marketing initiatives, or other company-wide activities.

  • Collaborate with other administrative staff to ensure smooth operations of the office, including ordering supplies, coordinating maintenance, and managing office equipment.

  • Prioritize and manage multiple tasks and projects simultaneously, ensuring deadlines are met and work is completed accurately.

  • Continuously seek opportunities to improve administrative processes and procedures to enhance efficiency and productivity.


Requirements



  • Bachelor's Degree in Business Administration, Office Management, or a related field is preferred.

  • A minimum of 2 years of experience in an administrative or executive support role is a plus.

  • Exceptional organizational skills with the ability to multitask and prioritize effectively.

  • Strong attention to detail and accuracy in completing tasks.

  • Excellent verbal and written communication skills.

  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

  • Ability to maintain a high level of professionalism, confidentiality, and discretion.

  • candidate must reside within Ajah and its environs.
