Job Description
We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. The person will be responsible for organizing senior management’s work and personal schedule. The level of responsibility and variety of activities is subject to the demands of the office you are attached to in the organization.
Principal Duties and Responsibilities
- Reporting to senior management and performing secretarial and administrative duties.
- Typing, formatting, and editing reports, documents, and presentations.
- Entering data, maintaining databases, and keeping records.
- Liaising with internal departments, answering calls, and making travel arrangements.
- Reading, monitoring and responding to the manager's email
- Diary management.
- Planning and organizing meetings and events.
- Improving office systems
- Conducting research and preparing presentations.
- Managing internal and external correspondence on behalf of senior management.
- Scheduling appointments, maintaining an events calendar, and sending reminders.
- Copying, scanning documents, as well as taking minutes for meetings and notes.
- Preparing facilities for scheduled events and arranging refreshments, if required.
- Ordering office supplies and replacements, as well as managing mail and courier services.
- Managing ad hoc projects
- Observing best business practices and etiquette.
- Ensure that statutory training requirements are met
- Help line managers and trainers solve specific training problems, either on a one-to-one basis or in groups
- Prepare reports on training effectiveness.
Requirement
- Proven 5-8 years work experience as a Personal Assistant
- Knowledge of office management systems and procedures
- MS Office and English proficiency
- Outstanding organizational and time management skills
- Up-to-date with latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality
