We are looking for a Front desk/Secretary to provide a variety of client services and ad hoc administrative support duties in ensuring clients receive top-quality service.
This entails providing exceptional customer service assistance and an overall welcoming environment for clients and staff of the company.
Job Description
Provides customer service support to the organization by obtaining, analyzing, and verifying the accuracy of order information in a timely manner.
Prepares customer service summary reports.
Coordinates the handling of difficult and/or unusual situations.
Answer customer inquiries and follow through on requests.
Ensures and provides quality service to both internal and external customers.
Handle inbound customer service calls with professionalism.
Receive, sort, and distribute daily mail/deliveries.
Update the calendar and schedule meetings.
Ensures reception area is tidy and presentable, with all the necessary stationery and material..
Keep updated records of office expenses and costs.
Order front office supplies and keep an inventory of stock.
Perform other clerical duties such as filing, photocopying, transcribing, and faxing.
Arrange travel and accommodations, and prepare vouchers.
Requirements
Proven experience as a front desk representative, or relevant position.(preferably female)
Familiarity with office machines (e.g. fax, printer, etc.)
Knowledge of office management and basic bookkeeping.
Fluent in English (oral and written)
Excellent knowledge of MS Office (especially Excel and Word)
Strong communication and people skills.
Good organizational and multi-tasking abilities.
Good Critical thinking and Problem-solving skills.
