Job Objective/Purpose of Job: 



  • To provide exceptional personal and executive assistance, leveraging strong organizational and communication skills to efficiently manage administrative tasks, prioritize responsibilities, and enhance productivity for the CO-CEO (operations).

  • Seeking to contribute to the smooth functioning of daily operations, enable effective decision-making, and facilitate seamless coordination to optimize personal and professional commitments.

  • He/She serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the CO-CEO (operations).

  • Provides high level and confidential secretarial and administrative support to the CO-CEO (operations).

Job Duties/ Responsibilities/ Accountabilities:



  • Provide comprehensive administrative support to the CO-CEO operations, including managing calendars, scheduling appointments, and coordinating meetings.

  • Organize and prioritize incoming correspondence and communications, responding on behalf of executives when appropriate.

  • Prepare and edit documents, presentations, and reports for the CO-CEO operations, ensuring accuracy and professionalism.

  • Arrange travel itineraries, accommodations, and transportation for the CO-CEO operations.

  • Assist in preparing agendas, attending meetings, and taking accurate minutes.

  • Conduct research, collect data, and prepare briefing materials for executives.

  • Manage and maintain confidential files, records, and documents.

  • Screen and direct phone calls, emails, and inquiries for executives, exercising discretion and judgment.

  • Collaborate with internal and external stakeholders to coordinate projects, initiatives, and events.

  • Support the CO-CEO operations in managing his professional commitments, including managing appointments, deadlines, and follow-ups.

  • Handle expense reports, reimbursements, and financial documentation.

  • Assist in managing and prioritizing incoming tasks and deadlines for the CO-CEO operations.

  • Act as a liaison between the CO-CEO operations and other staff members, clients, and partners.

  • Maintain a professional and positive demeanour while representing the CO-CEO operations and the organization.

  • Organize and maintain personal and professional files, records, and documents.

  • Assist in managing personal finances, including budgeting, expense tracking, and bill payments.

  • Coordinate and manage personal events, social engagements, and special projects.

Requirements



  • HND/Bachelor’s Degree in Secretarial Studies, Humanities, Business Administration or equivalent qualification in related subject


Experience Required



  • Minimum 2-3 years of relevant experience in Personal Assistant, Secretarial, or Office Management role.
