SUMMARY:


Coordinate the Organization’s administration system and general workflows which include coordination of staff, facilitating communication throughout the Company and implementing procedures to make a workplace more efficient. Provide Administrative support in a well-organized and timely manner for the MD.


RESPONSIBILITIES:



  • Manages the administrative activities of the Company.

  • Coordinate regular supplies of office stationeries.

  • Schedule in-house and external events٫ and maintain the corporate calendar.

  • Manage important and confidential company documents

  • Manage company databases and update them when the need arises

  • Assist in the recruitment of Staff

  • Review and update office policies as needed

  • Coordinate the CSR project and ensure seamless implementation.

  • Onboarding of new Staff.

  • Create reports on expenses and office budgets٫ on a regular basis

  • Manage correspondence (including letters٫ emails and packages)٫ arrange travel and accommodations

  • Create reports and presentations with statistical data٫ as assigned.

  • Manage the day-to-day activities of the Managing Director.

  • Organise, schedule and attend internal and external meetings with the Managing Director or on behalf of the Managing Director.

  • Prepare meeting agendas, and take minutes during meetings.

  • Manage both the personal and official calendar of the Managing Director

  • Manage projects and follow up with team members where required.

  • Book business travel arrangements, including flights, transportation, and lodgings for the Managing Director.

  • Liaise with clients and business guests on behalf of the Managing Director.

  • Organize and maintain personnel records.


REQUIREMENTS



  • First Degree in Business Administration or related discipline.

  • 2-3 years of relevant work experience.

  • Excellent written and verbal communication.

  • Strong problem-solving and organization skills
