Job Description
We are looking to engage a passionate and self-driven individual to supervise and manage the day-to-day operations of Matrix Energy corporate and private estates, oversee all maintenance and repairs to the estate grounds and buildings, manage vendors and coordinate the efficient management of the estates and manage estates’ maintenance budgets.
Key Duties and Responsibilities:
- Primarily responsible for the effective administration of all the property management services in the corporate offices and residential houses.
- Plan and coordinate infrastructure, equipment maintenance schedules and lead all routine and preventive maintenance processes and operations of all Matrix properties.
- Develop and maintain uniform facility management plans, procedures, programs, and standards to support Matrix Energy business and ensure compliance.
- Supervision of third-party contractors/vendors responsible for estate services and maintenance to ensure compliance with standard procedures.
- Ensure regular and prompt payments of all utility and maintenance bills and monitor utility usage and adjust usage patterns to minimize costs.
- Liaise with the Projects department to acquire, build, plan and manage all Matrix Energy Estate/building projects from conception to completion.
- Ensure detailed inventory/asset register of all Matrix Energy facilities and equipment.
- Conduct periodic unannounced property inspections on weekends, nights, and early mornings to determine the performance of key service providers, i.e., janitorial service, landscaping, security, technician/handyman services, etc.
- Oversee the correction of maintenance issues that relate to the interior space and exterior of the building, as applicable.
- Conduct regular periodic fire and life safety inspections.
- Ensuring compliance with relevant regulations, building codes, and health and safety standards.
- Conduct periodic property reviews to prepare and maintain plans for handling major environmental risk, security risks, and other extraordinary events.
- Produce monthly reports, including an operations summary of completed and planned operations activity and a database of all houses, rents and renewal dates as well as negotiate the leases and renewals.
Job Requirements
- First Degree in Estate Management or any other related field.
- 5 – 7 years of experience in corporate, residential, or mixed-use facility management.
- Knowledge of estimating, budgeting, and scheduling practices.
- Ability and proven experience in developing effective relationships with key stakeholders to establish trust, credibility, and respect.
- Able to deploy process improvement tools and techniques to schedule, plan, track, and correct process performance.
- Knowledge of CMMS will be a huge advantage.
- Good competence in the use of MS Office applications is required.
- Relevant professional qualifications e.g., IFM, PFM, IFMA, etc. will be an advantage.
