Job Description
SUMMARY:
The role holder will manage the ED’s workload and free up valuable time to attend to urgent strategic and tactical issues in the organization.
RESPONSIBILITIES:
Administration
- Manage internal and external official documentation (including hard copy files) and correspondences on behalf of or at the instruction of the Executive Director.
- Relieve the ED of administrative details by scheduling appointments, receiving calls, and responding to requests for information and other routine external requests
- Attending and taking minutes of the Director’s meetings.
- Coordinate the calendar, travel, meetings, and schedule arrangements for the Executive Director.
- Coordinate operations of the Executive Director’s office.
- Coordinate Executive Director’s diaries, prioritizing and resolving conflicting diary appointments.
- Attend events and meetings on behalf of the ED where required.
- Preparation of letters, presentations, and reports at mutually agreed timelines with the ED
- Liaise/work with the Administration department in planning and organizing trips involving the ED
Stakeholder Management
- Engages both internal and external stakeholders on behalf of the Executive
- Liaising with vendors on behalf of the ED where required.
- Creating reports as deemed required for decision-making.
REQUIREMENTS
- First Degree in a related discipline.
- 3 years of relevant work experience.
- Very good working knowledge of MS Excel and other MS Office applications
- Excellent Communication Skills (Oral and written)
- Excellent analytical and problem-solving skills
- Ability to Multitask
- Strong prioritization and organizational skills.
