Job Description 


As the Executive Assistant to the Managing Director, this person works closely with the MD, performing basic duties such as answering phones, screening visitors, making travel arrangements, preparing reports, filing and organizing documents, recording meeting minutes, performing basic bookkeeping tasks and ultimately contribute to the efficiency of our business by providing personalized and timely support to the MD.


Responsibilities



  • Receive guests and clients on behalf of the MD.

  • Answer all incoming calls and messages.

  • Manage the calendar of the MD, book appointments, flights and schedule meetings for the MD.

  • Type, sort and distribute documents appropriately.

  • File and organize documents within the office of the MD efficiently.

  • Provide general administrative support.

  • Filing and retrieving corporate records, documents, and reports.

  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.

  • Ensure at all times the neatness, tidiness and organization of the office of the MD.

  • Manage expenses within the office of the MD.

  • Dispatch memos to various offices in the organization on behalf of the MD.

  • Remain courteous and cordial to all internal and external guests.

  • Performs other duties as assigned.
