SCOPE OF ROLE: 


Reports to: Human Resources Manager, Abuja


Staff directly reporting to this post:  Human Resources Assistant


Role Dimensions: Reporting to the HR Manager, Abuja the post-holder will interact and work with the Country Office and Field Office HR personnel. 


KEY AREAS OF ACCOUNTABILITY:


Human Resource Management 



  • Assist the Human Resource Manager in the development of annual needs for development / training through the formal performance review process.

  • Identify training courses and their costs and maintain a list of available courses.

  • Research training opportunities as prioritised by the SMT or as requested by supervisors.

  • Provide support to supervisors to arrange training opportunities for staff.

  • Preparation of consultancy contracts for national and international consultants as well as keeping an updated and accessible database of consultants in line with acceptable SCI procedures.


Recruitment and On-boarding



  • Conduct end-to-end recruitment ensuring fairness, speed and efficiency throughout the process. In line with SCI’s policy and procedures, guide/conduct all stages of the recruitment process including role evaluation, advertisement/sourcing, long-listing, screening, interviews, background checks, making and negotiating reward offers and issuing of contracts.

  • Maintain a database of recruitment related advertising agencies - including websites, professional forums, and costs.

  • Provide best practice guidance and support to recruiting managers on recruitment planning; presentation of roles, assessment e.g. job descriptions and advertisements.

  • Coordinate communication with candidates in a way that reflects SCI’s values.

  • Develop a standard induction pack and maintain an induction schedule for new staff.

  • Conduct HR inductions for new hires.

  • Support Hiring Managers to coordinate on-boarding for new hires.

  • Participate in panels as well as in the short listing and interviewing as well as negotiating offers for prospective staff.

  • Planning and facilitation of Global Inductions for new hires within Save the Children in Nigeria on a monthly basis.


Consultant Engagement



  • Liaising with requesting teams/units/department heads to anticipate and plan for consultant recruitment needs.

  • Review and select suitable job advertising options.

  • Conduct end-to-end recruitment ensuring fairness, speed and efficiency throughout the process in line with SCI’s policy and procedures.

  • Coordinate communication with candidates in a way that reflects SCI’s values.

  • Participate in negotiating offers and drafting agreements for consultants.


HR Operations



  • Maintain hard copy personnel filing system and monitors staff file digitization initiatives. 

  • Assist with the collation of CO and Field office recruitment documents for CD sign off.

  • Partner with the HR Manager to roll out all key people processes (performance management, compensation, benefits, welfare, development programs, etc).

  • Monitoring global inductions.

  • Archive personnel files (hard and digital copies).

  • Support the unit’s meetings, and other HR events.

  • Support the field offices in coordinating HR key activities.

  • Consolidate and follow up with annual leave planning.

  • Process payments for HR-related expenses and keep records accessible for audit checks.


Payroll Management



  • Process monthly payroll schedule for staff which includes application of payroll components.

  • Adequately document terms of compensation and payroll changes using payroll processing variation forms.

  • Collaborate with the Finance unit to ensure monthly payroll cycle is complete.

  • Ensure that all changes that relate to SC international payroll are prepared/updated punctually and that these changes are checked and signed off by HRM before being presented to the RO.

  • Track changes and prepare variation documents for monthly international payroll.


People Management & Leadership



  • Manage and oversee issues related to staff orientation and employment.

  • Support with, and facilitate the human resource processes in all field locations.


Representation



  • Assist HR Manager in developing and maintaining contacts with other key INGO players to undertake a regular review of their terms and conditions and suggest best industry practices.

  • Assist with the analysis of HR needs of a programme and look for sustainable solutions.  Provide a generalist HR service to managers across a full range of HR issues.

  • Assist with representing SCI externally through correspondences.


Other



  • Assist the HR Manager to plan wellness activities for staff in the Nigeria country programme.

  • Coordinate the travel arrangements of the HR Team.

QUALIFICATIONS



  • Education – Bachelor’s Degree in Administration/Finance/Social Sciences.

  • Member of HR professional body is an advantage.


EXPERIENCE AND SKILLS


Essential



  • Minimum of 3 years’ experience in a similar role.

  • Excellent communication and interpersonal skills.

  • Excellent oral and written English language communication skills.

  • Excellent planning and organisational skills, with proven administrative skills.

  • Sound knowledge of office practices, procedures and administrative systems including filing systems.

  • Ability to manage competing priorities effectively in a constantly changing environment, meet deadlines and work calmly under pressure.

  • Strong coordination and time management skills.

  • Strong teamwork skills with the ability to both support colleagues and request support as and when required.

  • High level of confidentiality.

  • Ability to draft well-written, professionally presented documents.

  • IT experience - Proficient in Microsoft Office and database applications.
