Job Summary



  • To provide high-level professional administrative support to the Chief Executive Officer through sustained quality service delivery


Role Specific Goal:



  • Compliance with CE’s instruction

  • Coordinate the administrative itinerary of the CE in a timely and professional manner


KEY ROLES & RESPONSIBILITIES



  • To provide high-level administrative support to the Chief Executive in a proactive and effective manner

  • To manage an efficient diary system

  • To act as a liaison between the Office of the Chief Executives and all other departments in the Company

  • Work flexibly to support the Chief Executive as required

  • Review all documents submitted to the CE (including Monthly essentials)

  • Manage/ follow up on the task list as assigned by the Chief Executive

  • Taking and acting upon telephone/email correspondence

  • Receive visitors/ clients on behalf of the Chief Executive

  • Handling all the Chief Executive’s messages in her absence and notifying her of the same

  • Handling all travel arrangements, purchase of tickets, and hotel booking for the Chief Executive

  • Handling the Chief Executive’s records and filing system, including contractual and highly confidential matters

  • General secretarial duties for the Chief Executive

  • Other duties as appropriate to the job role

  • Other duties as may be assigned by the Chief Executive


REQUIREMENTS AND QUALIFICATIONS 



  • B.Sc. in a Business or Social science discipline

  • A higher degree/certification is an added advantage

  • Minimum 3 years relevant experience

  • Proven experience as an executive assistant.

  • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.).

  • Strong written and verbal communication skills 

  • Adaptability to changing priorities and a fast-paced environment

  • Attention to detail and accuracy

  • Excellent organizational and time management skills

  • Good interpersonal skills and the ability to work effectively with different units

  • Effective analytical skills

  • Ability to work independently and anticipate needs
