Job Description



  • Responsible for developing an in-field strategy for ensuring hitch-free event project execution and maintenance of client relationship on a long-term basis. He/she will coordinate his/her team and vendors in order to ensure that an event flows smoothly without a hitch until the end so as to meet organizational goals and expectations.

  • He/She will develop event plans for clients and internal stakeholders This includes project plans, that outline event execution, resource management, delivery timeline and event programs.

  • He/She is detailed and insightful and possesses excellent communication and people management skills.

  • He/She is able to multi-task and guide the teams to execute events within tight schedules and approved budgets.

  • He/She may be required to work long and irregular hours depending on the nature and schedules of the events.

  • He/She may travel frequently between the office and event sites to manage events.


KEY RESPONSIBILITIES



  • Conceptualize and plan events working in tandem with a dedicated team, and collaborate with internal stakeholders and vendors to ensure adherence to event plans and budget.

  • Develop event communication plans, budget, and event floor plans with internal stakeholders based on clients' requirements.

  • Lead discussions with clients to understand event scope and objectives.

  • Liaise with clients on invoicing and payment matters to ensure timely settlement.

  • Effectively manage any escalated issues as well as deviations from the project plans.

  • Manage financial budgets that are aligned with departmental work plans.

  • Present event proposals to management and clients for approval.

  • Propose department's financial budgets for management approval.

  • Recommend measures to improve event management and outcome.

  • Resolve all project issues and deviations to ensure that projects are executed as planned

  • Review project deliverables to ensure that project plans are followed Manager behaviours and expectations:

  • Actively promotes and embeds an understanding of equity, diversity, and an inclusive culture

  • Able to provide detailed feedback to direct reports on performance and development areas Person specification:

  • 3+ years experience of successfully executing large corporate and high-profile events.

  • Experience in managing a diverse workload, with multiple deadlines, stakeholders and deliverables

  • Experience in developing and delivering new event concepts

  • Technical know-how in designing mood boards and floor plans for large-capacity events 1000 to 5,000-capacity venues


 EDUCATION AND REQUIRED SKILLS



  • Bachelor's degree in Project Management, Event Management or any other related discipline

  • Possess proven experience as an Event Project Manager

  • Be computer savvy; showing proficiency in the use of MS Word and PowerPoint

  • Effective communication skill in both written and spoken forms

  • Effective negotiation skills will be of top priority

  • Possess excellent customer service skills

  • Ability to use the Internet for e-mail communication will be an added advantage

  • Excellent organizational skills

  • Possess remarkable problem-solving skills

  • Excellent project management skills

  • Possess outstanding event planning skills

  • Top-notch logistic skills will be an added advantage
