Keep front desk tidy and presentable with all necessary material (newspapers, pens, forms, etc.)
Answer inquiries and provide information to the public, customers, visitors, and other interested parties
Handle administrative requests and queries from Management Staff
Schedule appointments and maintain and update appointment calendars for the Managing Director and Chief Operating Officer
Maintain contact lists, scan documents, develop and maintain a filing system
Ensure that entire office areas, particularly front office, as well as other client(s) and staff areas are always kept clean and tidy and open for business at start of day
Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
Organize and co-ordinate company events e.g., Board meetings, TGIF, year-end parties
Organize and book venues for various meetings and events when required
Ensure all admin requests with facilities are logged and dealt with in a timely manner
Demonstrate knowledge and competency in all administration business unit’s operational requirements as outlined in the Standard Operating Procedures (SOPs)
Maintain office security by following safety procedures and controlling access via the reception desk (monitor Logbook, issue visitor badges
Maintain a database of all contractors and vendors who supply and maintain the facility
Maintain adequate supplies of office consumables and office supplies. Regular inventory & maintenance of re-order level
