Manage and optimize executives' schedules, appointments, and travel arrangements, ensuring efficient use of time and resources.
Coordinate and prepare materials for meetings, conferences, and presentations, including taking detailed minutes as required.
Act as a liaison between executives, team members, and external stakeholders, fostering strong relationships and ensuring clear communication.
Manage and prioritize incoming calls, emails, and other correspondence, responding promptly and professionally.
Organize and maintain confidential and sensitive files and records in a secure and efficient manner.
Perform general administrative tasks, including but not limited to: filing, data entry, and expense reporting.
Assist in planning and executing company events, both internal and external, such as product launches and team-building activities.
Anticipate the needs of executives and proactively address them, ensuring they are fully prepared for all meetings and engagements.
Qualifications:
Bachelor's degree or equivalent experience in a related field.
A minimum of 3 years of experience at a tech startup or similar fast-paced environment.
Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
Proficiency in Microsoft Office Suite and other productivity tools (Familiarity with project management and collaboration tools such as Notion, Monday, Zoho, Trello, Asana, or Slack.), as well as the ability to quickly learn new software and applications.
