Job Summary



  • We are looking to hire a methodical Executive Personal Assistant (Architect) to perform all administrative, clerical and technical duties required by our Managing Director.

  • The executive personal assistant's responsibilities include recording and distributing minutes of meetings, filing reports and other organisational documents, and meeting with important company associates on behalf of the Managing Director. You should also be able to follow instructions strictly.

  • To be successful as an executive personal assistant, you should demonstrate strong organizational skills and ensure that all meetings run on time. Ultimately, an exceptional personal executive assistant will maximise the MD’s time by effectively managing his schedule.


Job Duties



  • To produce reports for every site visited within 48hrs of the visit and to ensure the availability of architectural drawings on every construction site.

  • An occasional site visit to ensure compliance with architectural drawings, details and finishing.

  • Schedule meetings and manage calendars.

  • Coordinate meetings, conference calls, and interviews.

  • Screen telephone calls, take messages and respond to queries.

  • Take accurate and comprehensive notes at meetings.

  • Help with the Director’s daily time management.

  • Perform personal errands for C-level executives as required.

  • Manage the director’s diary, and schedule meetings and appointments.

  • Arrange domestic and international flights, transportation, and accommodation for directors.

  • Manage director's personal and business diaries.

  • Plan travel, including flights, accommodation and ground transportation.

  • Coordinate events and speaking engagements.

  • Draft correspondence such as emails and letters.

  • Handle requests and queries from clients appropriately.

  • Produce reports, presentations and briefs

  • Devise and maintain an office filing system

  • Arrange domestic and international flights, transportation, and accommodation for directors.

  • Prepare for board meetings, which include drafting agendas, gathering and printing all necessary documents, and organizing refreshments.

  • Assist in organising company events.

  • Compile and submit expense reports to the Managing Director.

  • Perform personal errands for the Managing Director as required.


Background and Qualification



  • Minimum of HND / BSc in Architecture

  • Minimum of 5 years experience post NYSC.

  • Proven work experience as a personal assistant.

  • Knowledge of office management systems and procedures.

  • MS Office and English proficiency.

  • Strong interpersonal skills.

  • Tech-savvy and experienced with word processing and email programs.

  • Active listening and good communication skills.

  • Ability to multitask.

  • Strong time-management and organisation skills.

  • Outstanding organizational and time management skills.

  • Up-to-date with the latest office gadgets and applications.

  • Ability to multitask and prioritize daily workload.

  • Excellent verbal and written communication skills.

  • Discretion and confidentiality.
