Responsibilities



  • Acts as the point of contact between Management and internal/external clients

  • Welcomes guests hospitably and with professionalism

  • Answers and screens phone calls for Management

  • Manages internal and external correspondence on behalf of Management

  • Maintains the calendar of the Management, schedules appointments, meetings and sends reminders as appropriate

  • Makes travel arrangements

  • Prepares, formats and edits letters, documents, reports and presentations

  • Devises and maintains the office filing system

  • Monitors and orders office supplies

  • Ensures the cleanliness, functionality and warm ambience of the office

  • Prepares facilities for scheduled events and arranges refreshments, where required

  • Handles inquiries, requests, and queries appropriately

  • Attends meetings with Management (if required) or on behalf of Management

  • Takes detailed minutes of meetings, follows up on action points, and provides feedbackSkills

  • Strong interpersonal skills

  • Proactive approach to problem-solving

  • Strong time-management and organization skills

  • Attention to details

  • Up-to-date with the latest office gadgets and applications

  • Ability to multitask and prioritize daily workload

  • Excellent verbal and written communication skills

Requirements



  • Bachelor’s degree in business administration or business management

  • A degree in estate management would be an added advantage

  • 2 to 3 years of proven experience in an administrative role (receptionist, secretary, administrative assistant or office manager)
