Job Description
Job Purpose
- Responsible for overseeing the storage, and distribution of materials, spare parts, and supplies required for the smooth operation of the mill.
- A Supervisor will be responsible for the overall management and supervision of warehouse activities.
Key Responsibilities
Warehouse Operations:
- Receiving & Inspection
- Supervise and coordinate the receiving of goods and materials.
- Inspect items for quality and quantity to ensure they meet specifications and report to relevant departments.
- Implement quality control procedures to maintain product integrity.
- Storage:
- Monitor the movement of products within/outside the warehouse, optimizing storage space and layout.
- Ensure proper labeling, categorization, and organization of items in the warehouse.
- Ensure that products are stored in clean, safe, and suitable conditions to prevent damage or deterioration.
- Issuance/Distribution:
- Ensure the timely and efficient distribution of materials to production and maintenance teams.
- Handle requests for materials from various departments/Intercompany and Issue materials based on approved requisitions.
- Coordinate with maintenance, project teams and other departments to ensure timely distribution.
- Coordinate with other estate warehouse/stores for plant-to-plant stock movement.
- Co-Ordinate and supervise Intercompany Transactions.
- Record Keeping/Inventory Management:
- Maintain accurate records of all materials, mechanical equipment, spare parts, and tools in the warehouse.
- Conduct routine stock checks and reconcile discrepancies and update inventory system.
- Regularly monitor inventory levels and reorder items as needed to prevent stockouts.
- Regular visits of sub-warehouses when and where required.
- Maintain current inventory records for periodic or unexpected audits (Internal & External).
Procurement:
- Ensure that purchase orders and invoices are accurately processed for payments to the finance department.
- Establish and maintain relationships with suppliers and vendors.
- Communicate with Procurement regarding delivery schedules, quality issues, Warrantees and rejected items or purchase returns.
Safety and Compliance:
- Follow safety protocols for handling hazardous materials and chemicals.
- Ensure compliance with relevant regulations and industry standards.
- Maintain a clean and organized warehouse environment.
- Enforce safety regulations and ensure warehouse staff adhere to safety protocols.
- Enforce safety regulations as per Company HSE Policy/Industry Standards and ensure that warehouse staff follow safety protocols.
- Oversee the maintenance and repair of warehouse equipment, such as forklifts, conveyor systems, and pallet jacks.
- Conduct regular safety training sessions and promote a culture of safety.
- Report and address safety concerns or incidents promptly.
Staff Management:
- Schedule work as per shifts, assign tasks, and provide guidance to team members.
- Address performance issues and provide coaching as needed.
- Delegate tasks and assign work schedules to ensure smooth operations.
- Foster teamwork and maintain a positive work environment.
- Identify opportunities for process optimization and efficiency improvements.
Reporting:
- Provide regular updates to management on stock status and any potential issues.
- Assist in budget planning related to inventory and procurement.
- Generate reports on warehouse activities, including inventory levels, order fulfilment, and productivity.
- Provide regular updates to management on warehouse performance and any issues requiring attention.
- Implement best practices to streamline warehouse operations and reduce operational costs.
Documentation:
- Maintain accurate records, including receipts, issuance, and inventory logs.
- Assist in the development of documentation related to inventory control processes.
- Continuously monitor and evaluate the effectiveness of warehouse processes.
Additional Responsibilities:
- Any other responsibility that may be assigned from time to time by Store Manager
Job Specification
- Bachelor's Degree/HND in Business / Supply Chain Management / Logistics or any other related field.
Additional Qualification:
- Proven experience in inventory management or related role, preferably in a mechanical/manufacturing or industrial setting.
- Knowledge of warehouse management systems (WMS) and inventory software.
- Knowledge of safety protocols for handling and storing materials and chemicals.
- Ability to Interpret MSDS and Technical Specifications of equipment, Spares, and other raw materials/chemicals.
Basic Skill:
- Strong Knowledge of Microsoft Excel (Formatting, Formulas & Functions, Data Analysis, Data Cleaning & Transformation)
- Strong organizational and problem-solving skills.
- Attention to detail and accuracy in record-keeping.
- Effective communication skills to collaborate with various teams and vendors.
- Ability to lift and move heavy items when necessary.
- Ability to work in a fast-paced, dynamic environment and under pressure to meet tight deadlines.
