Job Description
We seek a friendly and organized Front Desk/Facility Assistant to join our team. The Front Desk will be the first point of contact for visitors and clients, providing exceptional customer service and administrative support. The ideal candidate should have excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment. The Front Desk will handle incoming calls, manage appointments, and assist with general administrative tasks.
Responsibilities
- Greet, welcome, and direct guests and provide superb customer service.
- Answer all incoming calls and redirect them or keep messages.
- Receive letters, packages, etc., and distribute them.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Prepare outgoing mail by drafting correspondence, and securing parcels.
- Monitor office supplies and place orders when necessary.
- Manage office supplies and prepare regular reports on expenses and office budgets.
- Keep updated records and files.
- Manage car usage and fuel consumption.
- Maintain an accurate vehicle movement schedule.
- Maintain an effective and efficient roaster of the driver to ensure the smooth provision of services.
- Manage business log of who is entering and exiting the building.
- General maintenance of XII Lungi facilities.
- Handle filing and data entry as requested.
- Provide administrative support when necessary.
- Take up other duties assigned.
Qualifications
- Candidates should possess a Bachelor's degree in a related field.
- 1 - 2 years work experience in a similar position.
- Excellent communication and interpersonal skills.
- Strong networking abilities and the ability to build and maintain relationships with clients and tenants.
- Proficient in using Microsoft Office packages.
- Detail-oriented with excellent organizational and time management skills.
- Ability to work independently as well as part of a team.
